Grant Funded Student Assistant Hiring Form

Please complete the Grant Funded Student Assistant Hiring Form to initiate hiring for student assistants paid through ORSP-managed grants.

Students may not begin working until all hiring paperwork has been submitted and the student has signed in with the Payroll Office (SA 2600). Students who have previously worked on campus and have already signed in with Payroll do not need to sign in again.

This form is not for Federal Work-Study (FWS) students. Please work with your HUB or department administrator to hire students funded through FWS. If you would like a student to continue working on your grant after their FWS funding ends, you will need to complete the Grant Funded Student Assistant Hiring Form, as additional hiring paperwork and grant charging documentation will be required.

How are a student assistant’s hours charged to my grant?

By default, student assistant hours are charged to the department. To charge those hours to a grant, additional documentation must be submitted to Finance.

For grant-funded personnel, this is completed through the AdobeSign workflow titled “ORSP - FTE Workflow-Grants.”

Does my grant include professional staff support?

If you rely on your department or HUB administrator for support with tasks such as purchasing or student hiring, your grant does not have professional staff support.

Grants with professional staff support typically include full- or part-time grant coordinators who can assist with purchasing, hiring, and budgeting.

Do I need to submit the Grant Funded Student Assistant Hiring Form for a student who is already working for me?

If the student already has an active HR appointment, you do not need to submit the form again.

However:

  • Academic year (AY) student assistant appointments end in late May.
  • If you are rehiring a student for a new academic year, you must submit a new Grant Funded Student Assistant Hiring Form.
  • All summer hires require a new form because summer appointments are processed separately.

Where does the Grant Funded Student Assistant Hiring Form go after submission?

The form is submitted to ORSP. ORSP will work with your department or HUB staff to ensure all required paperwork is completed in a timely manner.

Do I need to submit a new form for summer employment?

Yes. All student assistant positions end on May 31. A new Grant Funded Student Assistant Hiring Form and updated hiring paperwork are required for summer employment.

Is this form required for non-grant-funded student assistants?

No. The Grant Funded Student Assistant Hiring Form is only for student assistants paid through ORSP-managed grants.

For work-study, start-up, or other non-grant funding sources, please work with your department or HUB administrator.
